Position: Part-Time Remote Bookkeeper/Compliance Manager

Type: Independent Contractor (1099-NEC)

Location: Remote

Hours: Approximately 15-25 hours per week (flexible)

Compensation: $35 - $ per hour (depending on experience)

Company Overview:
We are a fast-growing small business that operates both an in-home preschool and an online retail store selling homeschool curriculum, books, art, and music supplies. We are seeking an experienced, detail-oriented bookkeeper and compliance manager to take ownership of our financial and compliance tasks, ensuring that we remain up-to-date with all quarterly and annual reporting requirements.

As we expand our business to include more educational services, we need someone who is highly organized and proficient with modern bookkeeping software and compliance tools. Key Responsibilities:

Bookkeeping and Financial Management:

  • Manage all financial records in QuickBooks, including tracking income, expenses, and transactions.
  • Reconcile bank accounts, credit card statements, and other financial accounts on a monthly basis.
  • Prepare monthly and quarterly financial reports (income statements, balance sheets, etc.) to ensure clear cash flow visibility.
  • Collaborate with our CPA for tax preparation and ensure accurate records are maintained for quarterly estimated tax filings.
  • Oversee payroll via Gusto (or QuickBooks Payroll), ensuring accuracy in employee compensation, withholdings, and benefits contributions.
  • Calculate and track quarterly federal estimated taxes and prepare necessary payments.

Compliance and Reporting:

  • Ensure timely filing of WA Department of Revenue (DOR) quarterly and annual tax returns.
  • Manage L&I and ESD reporting through Gusto or similar platforms, ensuring compliance with state regulations.
  • Coordinate with Harbor Compliance to track and file WA State annual business reports, business license renewals, and other compliance filings.
  • Ensure accurate filing of employee W-2s, contractor 1099s, and year-end payroll tax forms.
  • Prepare and file local and state personal property tax returns (if applicable).

Tax Support:

  • Work closely with our CPA to prepare year-end financials and assist in filing federal, state, and local taxes.
  • Oversee sales tax reporting and compliance, working with Avalara to ensure accurate reporting for online sales.
  • Track business expenses to maximize tax deductions and ensure accurate reporting.

Compliance Monitoring:

  • Maintain compliance with all business licenses, registrations, and filings. Ensure renewals and registrations are filed on time, especially with the WA State Department of Corporations and Charities.
  • Manage and oversee business insurance renewals and verify that coverage is adequate.
  • Help us navigate any necessary licensing as we expand our preschool services into a 1st-grade program.

Financial Planning & Review:

  • Conduct regular reviews of the company’s financial health, identifying areas for improvement and cost-saving opportunities.
  • Assist in preparing the company’s financials for business planning and growth, including forecasting revenue and expenses.
  • Provide insights to improve overall financial efficiency and compliance practices.

Qualifications:

  • Proven experience as a bookkeeper, financial manager, or compliance officer (preferably with experience in small businesses or educational settings).
  • Expertise in QuickBooks Online and Gusto (or other payroll management tools).
  • Familiarity with tax filing (including estimated quarterly taxes), sales tax reporting, and payroll compliance.
  • Experience working with Avalara (or similar tax reporting software) is a plus.
  • Strong understanding of financial reporting, reconciliation, and compliance for both state and federal requirements.
  • Excellent organizational skills and attention to detail.
  • Ability to work independently, manage multiple deadlines, and ensure accuracy.
  • Knowledge of Harbor Compliance or similar compliance management tools is preferred.

Nice-to-Have:

  • Experience in managing finances for a small business in the education or e-commerce sector.
  • Understanding of Washington State business regulations, including licensing and compliance for educational services.
  • Familiarity with personal property tax filings and nonprofit or for-profit business structure compliance.
